At the heart of Secured eCollaboration is some truly innovative technology. Document encryption and access control functionality is delivered through tools that are easy to use, yet also comprehensive enough to give flexibility to users and full control to administrators; and this strong security is integrated seamlessly into your SharePoint solution so that your users continue to enjoy the ability to collaborate with co-workers and you can be confident that your organization is complying with laws and regulations

The solution consists of a client application running on the endpoint device, a central Management Console that is designed to run on a shared server, and an add-in application running on the SharePoint server. The endpoint client does the encryption and transports the encrypted document to and from the SharePoint platform. This minimizes the impact on the SharePoint server, and ensures that all sensitive data stored on the SharePoint server is encrypted even if SharePoint is hosted by an external service provider.

Collaborating with external parties

There are three ways for a trusted external contact to be able to open an encrypted file or folder. By downloading a free Secured eFile Reader, the user just double clicks on the file and enters the password. Or it is possible for the user to install a license which will be automatically managed by the Simple Encryption Platform. Or the user can create a self-running executable package - no software is required, the user simply enters the password.

Strong security at all points

Encryption uses a FIPS certified AES 256 encryption algorithm.
Communications between the client and the central management console server is secured through an SSL tunnel encrypted with 128 bit AES.
Documents are encrypted and unencrypted on the end-point computer, and are transported securely using AES 256 encryption to and from the SharePoint platform. As a result all sensitive data stored on the SharePoint server is secured

Central control and reporting

The Simple Encryption Platform provides central management, control and reporting for administrators. The SEP uses Global Objects Synchronization allowing the intelligent client to communicate with the SEP manager for real time reporting of data movements and user actions. The SEP can run on a virtual server (VMWare).

Security extends outside SharePoint

Users often work on documents locally before uploading to SharePoint. Secured eCollaboration offers the option for users to secure documents on the desktop or a network drive. It is also possible to encrypt and secure an entire folder on the desktop. All data that is added to the secured folder will also be encrypted. The folder can be moved to a USB device if necessary creating a secured environment.

Brute force protection

Built in brute force protection system protects the inherent encryption methodology against professional hackers.

Controlling access to sensitive information

Access rights are created at the point of document encryption - the default is to restrict access to the user who created the document. Secured eCollaboration forces the user to assign access rights to additional people rather than simply inheriting group rights, thereby complying with legislation. An Access Rights Wizard guides the user through the process of adding access rights for users and groups within the organization’s Active Directory.

Central control of the user’s environment

The central management console allows administrators to define. Monitor and enforce information security policies, ensuring a consistent policy for all users or customized policies for groups or individual users. It is possible to limit who a user can share secured documents with eg. HR might only be able to add access rights for other HR team members.

Automatic access control with Stealth Key technology

Our automatic key encryption method (EPM) allows the user to decide who to share secured files with, and what role that user/group will have when accessing it - manager, contributor, read-only. EPM Stealth Keys are automatically generated and synchronized between server and clients so IT administrators don’t have to manage them.

Automatic user authentication

Client authentication can be customized depending on the need for user identity verification, from single sign-on (SSO) using Windows authentication to authenticating users every time a secured document is opened. Roles assigned to the user then controls what can be viewed, edited or created.
